Who we are

This website is operated by The Live Media Group, doing business as The Panel Live, based in Milwaukee, Wisconsin. In this policy, “we,” “us,” and “our” mean The Panel Live.

Information we collect

We collect the information you choose to give us, plus basic technical data every website receives.

Event inquiry form: your name, email address, event type, whether it’s a personal or business event, the service you’re interested in, event date, number of guests, hours needed, budget range, and event location.
Online booking: your name, email address, phone number (optional), event location, notes, the service, date, and time you choose, the estimated price and deposit, and when you agreed to our Booking Policy.
Contact form: your name, email address, and the message you send.
Newsletter signups: your first name (optional), email address, and the date you signed up.
Payments: the amount, date, and status of deposits and payments, and any receipt or confirmation reference from our payment processor. We never see or store your card details.
Records we create while working with you: booking history and status, invoices, payment balances, emails we send you about your booking, and internal notes and follow-up reminders our team adds to your client profile.
Server logs: like most websites, our web host automatically records technical information such as your IP address, browser type, pages visited, and time of visit. These logs are used for security and basic traffic statistics.

How we use it

To respond to your inquiries and messages and plan consultations, events, and interviews.
To schedule your booking, check availability, and prevent double bookings.
To send emails about your booking, such as request received, confirmation, status changes, appointment reminders, and balance reminders.
To prepare invoices, record deposits and payments, and track balances.
To keep a client profile so our team can see your booking history and follow up with you.
To send the newsletters and updates you signed up for.
To keep the website and our records secure.

We do not sell, rent, or trade your personal information.

Our booking system and client records

Scheduling, booking requests, client profiles, and invoices are handled by our own booking system, hosted on our web server. Your information is not entered into a third-party scheduling service. Submissions from our forms are stored in a secure database and in files kept outside the public website folder.

When you book, the system links your booking to a client profile, using your email address to avoid duplicate records. Each booking has a private link (sent to you by email) where you can view its status.

Who can access your information

Only authorized members of The Panel Live team can access client records, through a password-protected staff area. Our web host stores the servers our website runs on. We may also share information when required by law.

Third-party services

Some features rely on trusted outside providers, which handle your information under their own privacy policies:

Payments: deposits and payments are processed by Square. When you pay, you enter your card details on Square’s secure checkout, not on our website. Square tells us the payment amount and status.
Email: booking and notification emails are sent through our email provider.
Team calendars: our team may add booking dates and times to their own calendars (for example, Google Calendar) so we don’t miss your event.
Fonts: our typefaces load from Google Fonts, which receives your IP address when the page loads.
Social media: links to our social profiles and YouTube channels take you to those platforms, where their policies apply.

Cookies

We do not use advertising or analytics tracking cookies. Our booking pages set one essential session cookie that remembers your progress through the booking form, keeps you signed in if you’re a team member, and protects forms against misuse. It expires when you close your browser. Square’s checkout may set its own cookies needed for payment.

How we protect it

The site is served over an encrypted HTTPS connection. Client records are kept in a database that isn’t publicly accessible, staff sign-in is password-protected and limits repeated failed attempts, and forms include spam and abuse protection. No method of storing information online is completely secure, but we work to keep yours safe.

How long we keep it

Inquiries, bookings, client profiles, invoices, and payment records: kept as long as needed to provide our services, follow up with you, and meet our business, tax, and accounting obligations.
Contact messages: kept as long as needed to respond and follow up.
Newsletter details: kept until you unsubscribe.
Server logs: kept for a limited time by our web host. Records of failed staff sign-in attempts are deleted after 24 hours.

Your choices and rights

You can unsubscribe from our newsletter at any time by contacting us.
You can ask us to stop sending you follow-up emails. We’ll still send messages you need about an active booking.
You can ask us to show you, correct, or delete the personal information we hold about you. We may need to keep certain booking, invoice, and payment records where required for legal or accounting purposes.

To make a request, contact us using the details below. We may ask you to confirm your identity before acting on a request.

Children

Our website and services are not directed to children under 13, and we do not knowingly collect their personal information online.

Changes to this policy

If we change this policy, we’ll post the updated version here and change the “Last updated” date above.
